Deal registration looks like a form. It is actually a claim on a customer, a margin, and sometimes a rebate, filed with the vendor and subject to the vendor’s rules about who qualifies, how long the claim lasts, and what happens when two partners file for the same account. When you work with one vendor, you can hold those rules in your head. When you work with ten, you cannot.

## Why deal registration matters beyond the form

Vendors tie real benefits to registration. In the Fortinet Engage materials, access to the Deal Registration Program is listed as a benefit even at the entry level. Palo Alto has described a rebate for Diamond partners that is tied to driving deal registration plus Partner Value Incentive opportunities, and it has said program discounts and incentives are added automatically at quoting based on SKUs. In other words, registration is how the vendor identifies your deal, and increasingly it is how discounts and incentives find their way onto the quote.

That makes a lapsed or missing registration expensive in three ways: you may lose the protected price, you may lose the incentive attached to the deal, and in the worst case another partner is registered on the account you built.

## Seven practices that hold up across vendors

1. **Register before the proposal, not after the award.** The registration is most useful when it exists before the customer has shopped the deal. Make registration a gate in your own sales process, at the same stage every time.
2. **Give it one owner.** Deal registration fails when it is everyone’s job. One person, or one small role, owns filing, tracking, and extensions across all vendors.
3. **Keep one log across vendors.** Each vendor’s portal shows only its own registrations. A single log by customer and vendor is the only place you can see all of your protected deals together.
4. **Track the expiry date on every registration.** Windows differ by vendor and by program, and they change. Record the actual expiry from the confirmation, not an assumed one.
5. **Request extensions early.** An extension request made in the last week is a request made when the vendor has the least reason to accommodate it. Review expiring registrations 30 days ahead.
6. **Record the evidence at the time.** Who the customer contact is, what was discussed, and which vendor rep was engaged. If a conflict arises, the partner with the clearer record is in the stronger position.
7. **Measure the outcome.** Track registered deals against won deals and against expired registrations. If the expiry rate is high, the process, not the market, is the problem.

## The multi-vendor wrinkle: one customer, four registrations

Consider a single customer proposal that includes a firewall platform, an endpoint product, a Microsoft licensing bundle, and a cloud migration. That one proposal can require four registrations, in four portals, with four different forms, approval times, and expiry dates. If your sales team registers the firewall deal and forgets the endpoint product, the first quote goes out unprotected on half the solution.

The fix is not more discipline. It is a checklist generated from the proposal: for each line item, which vendor, which program, which registration, and which date. Build the checklist into proposal creation so that registering is part of producing the quote.

## What a good deal registration log contains

| **Field** | **Why you need it** | **Example** |
| --- | --- | --- |
| Customer and deal ID | Links to your CRM record. | Acme Corp / DEAL-2041 |
| Vendor and program | Rules differ by vendor and sometimes by program path. | Palo Alto / reseller path |
| Registration ID and status | The reference the vendor uses; shows pending or approved. | Palo Alto / reseller path |
| Filed date and expiry date | The two dates that decide whether you are protected. | Filed Jan 12 / expires Apr 12 |
| Extension requested? | Shows whether you have used your lifeline. | Requested Mar 10 |
| Vendor rep engaged | Who to call if there is a conflict. | Name |
| Outcome | Won, lost, or expired. Feeds the vendor review. | Won |

*Dates are illustrative. Use the expiry shown on each vendor’s own confirmation.*

## Where deal registration software helps, and where it does not

Deal registration software is a real category, and tools built for vendors focus on receiving, approving, and resolving partner registrations. That is the vendor’s side. On the partner side, what you need is a record of what you have registered, with whom, and until when, across every vendor at once. A vendor-side tool cannot give you that, because it only sees its own program.

> **A measure worth tracking:** Expired-registration rate: the share of registrations that lapsed before the deal closed or was extended. If it is not zero, you are leaving protected margin on the table, and the fix is cheaper than the loss.

## What to do this week

- List every open registration you have across vendors, with its actual expiry date.
- Identify any that expire in the next 30 days and decide on each: extend, close, or let go.
- Add a registration step to your proposal template, with one line per vendor in the quote.
- Name the person who owns the log.

## A deal registration policy you can adopt

Practices work better when they are written down as a policy that everyone follows. This one page can be adopted as is or adapted to your firm.

| **Policy item** | **Rule** |
| --- | --- |
| Scope | Any opportunity above a set value, or involving a vendor that offers registration benefits, is registered. |
| Timing | Registration is filed before the proposal is sent, and never later than a set number of days after first customer contact. |
| Owner | The sales operations lead owns filing and the log. Account executives provide the information. |
| Log | Every registration is recorded with vendor, ID, filed date, expiry date, and status. |
| Expiry review | A weekly report lists registrations expiring within 30 days. Each gets an extension, a closure, or a documented decision to let it lapse. |
| Conflicts | If a conflict arises, the owner assembles the record of contacts and dates and escalates to the vendor contact within two business days. |
| Reporting | Quarterly: registrations filed, won, lost, and expired, by vendor. |

## Common ways registrations fail

- **Incomplete information.** A registration missing the customer decision-maker or the products involved is more likely to be questioned.
- **Wrong product scope.** Registering part of a solution leaves the rest exposed.
- **Different names.** The customer entity on the registration does not match the legal entity on the quote.
- **Silent expiry.** Nobody was watching the date.
- **Informal approvals.** A phone call from a vendor rep is not a registration. Get it in the system.

## Metrics to report to leadership

Four numbers tell the story: the share of eligible deals registered, the share of registrations that were won, the share that expired without action, and the average days from first contact to registration. A rising expired share points to a process problem, and a long time to registration points to a sales habit. Both are fixable once they are visible.

## Frequently asked questions

### How long does a deal registration last?

It varies by vendor and program, and it changes. Record the expiry shown on each vendor’s confirmation instead of assuming a standard window.

### What if two partners register the same customer?

Rules differ by vendor. Your best position is a clear record made at the time: dates, contacts, and the vendor representative engaged.

### Do small deals need registration?

Apply a consistent rule. Registering everything above a threshold you set is more reliable than deciding case by case.
